When you're importing goods from overseas, you'll likely hear two terms used often: a procurement specialist and a freight forwarder. While both play important roles in getting products from overseas factories to your doorstep, they serve unique roles. Understanding the difference can help you avoid costly mistakes and unnecessary stress.


A procurement specialist works with you during the pre-production stage of your import process. Their main job is to locate trusted suppliers, negotiate prices, automated order fulfillment and ensure the quality of the products before they are made. They often conduct on-site factory audits, inspect samples, and bridge language barriers who may speak a different language. Procurement specialists are especially helpful if you're new to international trade or if you're buying from countries like high-volume manufacturing hubs where local knowledge is essential. They focus on what’s happening before the goods are even packed and shipped.


On the other hand, a shipping operator takes over once the goods are cleared for shipment. Their role is supply chain execution. They arrange the transportation of your shipment using multimodal transport options. They reserve freight capacity, generate bills of lading, handle customs clearance, and coordinate with ports and carriers. The shipping agent makes sure your shipment arrives at your warehouse or distribution center on time and in good condition. They don’t care about the manufacturing process or if it passes your inspections—they only care about moving it from point A to point B.

Think of it this way: a procurement expert helps you get the right product, and a shipping specialist helps you deliver it securely to your door. Some companies offer a full end-to-end solution, but you should always check what exactly is included. Using just a sourcing agent without a logistics provider means you’ll still need to coordinate carriers. Using just a freight forwarder means you might end up with substandard inventory because manufacturing standards go unverified.


Many businesses work with each to cover the complete supply chain. A procurement specialist ensures you’re getting a good product, and a freight forwarder ensures it reaches you without customs issues or damage. Choosing the right service provider—or providers depends on your experience, the scale of your shipment, and your involvement level over each step of the process. Don't assume either role can substitute for the other. They are two essential functions, not replaceable.
